Assistant Director of Facilities

Position Summary
Under limited supervision, the Assistant Facilities Director is responsible for overseeing the operation and maintenance of five stages across three different venues, ensuring seamless management of the Facilities, Building Services (janitorial), Security and Parking Departments. This role includes supervising departmental staff, managing budgets, and ensuring compliance with all necessary regulations, while maintaining operations excellence to support events and daily operations. Reports to the Senior Director of Facilities.
Duties & Responsibilities
Leadership and Management
- Hire, train, and performance manage departmental managers and staff, ensuring adequate staffing and scheduling across all departments. Direct Reports include Facilities Supervisor, Security Manager, Building Services Manager, and Part-Time Parking Associates.
- Collaborate with the Senior Director of Facilities to develop annual Operations budget and plan Capital Improvement Projects.
- Develop and monitor departmental budgets, tracking all expenses and adjusting projections as needed.
- Collaborate with accounting to reconcile revenue and ensure cost control across all departments.
- Assess outside vendors for solicitation of proposals, as requested. Define scope, send Requests for Proposals, manage RFIs and monitor the submission of bids.
- Perform research and/or surveys, as required. Manage the logistics, communications, follow up and other details among contractors or companies to accomplish departmental goals.
- Attend interdepartmental meetings, including weekly production meetings, to ensure alignment across departments and proactive planning for events.
- Assist in formulating policies and procedures and make recommendations for improvements/changes as needed for responsible departments.
- Communicate operational updates, challenges, and improvements with senior leadership.
- Utilize technology – including Microsoft Office – to support departmental operations and documentation.
Facilities Maintenance
- Oversee the daily maintenance and efficient operation of all venues and equipment, including HVAC, access control systems, and infrastructure to support daily show schedule.
- Ensure compliance with fire codes, safety standards, and regulatory inspections.
- Coordinate with the City of Charlotte building management personnel and contractors for maintenance and capital improvement projects.
- Serve as a liaison with property business partners to ensure effective communication with BA, highlighting situations that impact operations.
Security
- Responsible for all Front of House and Back of House security operations, including contracted/outsourced security when applicable, to ensure the safety and security of all patrons, staff, and facility infrastructure.
- Monitor the Security DAR and follow up on any issues that need to be addressed.
Building Services
- Ensure cleanliness and upkeep of all venues, maintaining high standards for public and backstage areas.
- Oversee building services operations to address issues or operational needs.
Parking
- Oversee parking staff, revenue tracking, and customer satisfaction.
- Ensure accurate payment collection and revenue reconciliation.
- Identify, contract, and liaise with local parking garage vendors to meet BA parking operation needs.
Qualifications
Education and Experience
- Requires an associate’s degree supplemented by seven years of facilities management, operations management or a related field including 3 years of supervisory experience, or an equivalent combination of education, training and experience that provides the required knowledge, skills and abilities.
- Experience managing multiple direct reports and multiple venues is preferred.
- Must possess valid Driver’s License and transportation to move between venue locations.
Knowledge, Skills, and Abilities
- Comprehensive understanding of facilities management practices, including building systems (HVAC, access control, fire safety) and infrastructure maintenance.
- Familiarity with security, janitorial, and parking operations and best practices
- Budget management, financial reconciliation and cost control processes
- Knowledge of local, state, and federal safety codes and regulatory requirements
- Vendor and contractor management – including RFP process, negotiations and project oversight
