Position Summary

Under general supervision, assists with the day-to-day operations of the Human Resources functions and contributes to the accomplishment of Human Resources practices and objectives. This position must be available to provide limited remote support to Stagehand Onboarding outside of traditional business hours. This is a part-time, non-exempt position with an expectation of 25 hours per week.

Duties & Responsibilities

  • Assist with day-to-day operations of the HR functions and duties.
  • Provide clerical and administrative support to the Chief Human Resources Officer.
  • Liaise with employees, supervisors, managers, co-workers in problem resolution.
  • Process documentation and prepare reports relating to human resources activities (staffing, recruitment, training, benefits, employe relations, performance evaluations, etc.).
  • Coordinate HR projects (meetings, training, surveys, etc.) and take minutes when needed.
  • Respond to employee requests regarding human resources issues, rules, and regulations.
  • Manages onboarding process for Stagehands.
  • Serves as backup to the HR Generalist.
  • Assists in payroll preparation by providing relevant information.
  • Participates in HR staff meetings and attends other meetings and workshops as required.
  • Plans or assists with the planning and implementation of various employee events, meetings, and organizational training and development efforts.
  • Ensures the confidentiality of all employee records including salaries, discipline, time off, medical or other information that is in employee files or discussed in staff meetings or other communication.
  • Maintains employee, medical and I-9 files in accordance with company policies and all legal requirements and with complete confidentiality. Updates and maintains other employee records.
  • Manages the company’s E Verify program. Ensures compliance with USCIS Form I-9 Employment Eligibility Verification. Periodically audits I-9 Forms.
  • Coordinates and tracks all employee paperwork for promotions, transfers, compensation changes, performance reviews, attendance records, terminations, and other employee related changes. Files papers and documents into appropriate employee files.
  • Manages the off-boarding program to ensure all termination processes are completed. Prepares employee separation notices and related documentation.
  • Assists with the design and development of tools to assist employees in benefit selection, employee self-service, etc.
  • Assists in updating and maintaining the Employee Handbook, making recommendations for change(s) to the HR Leader when necessary.
  • Manages communications for the HR department.
  • Helps build company culture by organizing events/programs to support employee engagement and employee appreciation initiatives.
  • Assist the HR Leader with formulating policies, procedures, and changes, as well as communicating all updates to employees.
  • Provides innovative techniques to automate manual systems within the HR function that are aimed at increasing efficiency and effectiveness.
  • Other duties as assigned.

Qualifications

Education and Experience

  • Requires a bachelor’s degree in human resources, psychology or a related field and 2 years of experience or an equivalent combination of education, training and experience that provides the required knowledge, skills, and abilities.

  • Basic knowledge of HR functions.
  • Requires excellent skills in communicating verbally and in writing with President, Trustees, co-workers, staff and members of the general public. 
  • Ability to maintain highest level of discretion, diplomacy, integrity, and confidentiality.
  • Ability to decipher, interpret, and explain technical benefits, compensation, & policy details to non-technical employees.
