Membership Coordinator

Position Summary  

The Membership Coordinator will play a pivotal role in strengthening relationships with our community of supporters. Working closely with the Director of Donor Relations, the Membership Coordinator will develop and implement strategies to attract, retain, and engage members, ensuring an exceptional experience for all. Reporting to the Director of Community Impact and Partnership, the Membership Coordinator will manage a portfolio of 900+ members, focusing on General Members and entry-to-mid-level Producers Circle (up to $5,000+), while identifying in-kind partner prospects and supporting restricted giving efforts. 

This role requires creativity, strong interpersonal skills, and an appreciation for the arts. You will provide exceptional customer service to VIP constituents, handle confidential matters with discretion, and balance multiple tasks in a fast-paced environment. Some evenings and weekends are required for events and special initiatives. 

Duties & Responsibilities 

Membership Recruitment and Retention 

  • Execute strategies to attract new members and grow membership levels. 

  • Implement initiatives to enhance member satisfaction and retention. 

  • Communicate regularly with members about events, programs, and benefits. 

  • Solicit portfolio members to meet revenue goals and manage corporate relationships. 

  • Develop and refine marketing materials for membership and annual giving. 

  • Support the growth of in-kind giving programs to identify and renew partners. 

  • Respond to donor inquiries and customer service needs. 

Event Coordination and Support 

  • Organize and coordinate exclusive member activities and events. 

  • Assist in planning fundraising events with the Director of Community Impact and Partnership and Director of Donor Relations.  

  • Provide logistical support for events, including registration and guest management. 

Community Engagement 

  • Build relationships with members, donors, volunteers, and community partners. 

  • Act as the primary contact for member inquiries and feedback. 

  • Collaborate with internal teams to promote membership opportunities. 

Database Management and Reporting 

  • Maintain accurate membership data in coordination with the Development Accounts and Database Manager. 

  • Analyze trends to identify growth opportunities with the Director of Community Impact and Partnership. 

Administrative Support 

  • Perform general administrative tasks, including mailings, data entry, and budget assistance. 

  • Prepare materials for board meetings, member communications, and presentations. 

  • Assist with other administrative duties related to membership operations. 

Qualifications

Education and Experience  

  • Bachelor’s degree in communications, marketing, nonprofit management, or related field 

  • 1 year of broad experience in fundraising required, 3 years of experience preferred, or an equivalent combination of education, training and experience that provides the required knowledge, skills and abilities. 

Knowledge, Skills and Experiences 

  • Proven ability to organize information and develop tracking systems 

  • Strong computer skills required with intermediate proficiency in MS Word, Outlook and Excel programs required 

  • Ability to multi-task, prioritize, and manage multiple deadlines simultaneously 

  • Possess strong interpersonal skills and exhibit exceptionally high standards of customer service and team-centered attributes 

  • Ability to work in a fast-paced environment with strong attention to accuracy and detail 

  • Experience working with a wide range of personalities; exhibits a high degree of tact and diplomacy 

  • Self-starter who creatively solves problems 

  • Ability to treat information with the highest respect for confidentiality 

  • Genuine interest in the performing arts 

  • Availability to attend and assist with evening and weekend events
